We are seeking a dedicated and highly experienced Executive Personal Assistant to provide top-level support to our IL GM and executive team.
This role is critical to ensuring the smooth operation of our leadership team and broader organizational success.
Key Responsibilities:
Executive Support:
- Act as the right hand to the IL GM and the high-level leadership, managing schedules, meetings, and correspondence
- Prepare meeting agendas and briefing documents
- Attend key meetings, take minutes, and track follow-ups
Operational Excellence:
- Travel Management: Serve as the focal point for all company travel. Manage logistics, assist with booking flights, and ensure efficient and cost-effective arrangements
- Mobile Management: Manage the company’s cellular plans, including domestic and international communication packages, ensuring optimal coverage and cost efficiency
- Executive Meetings: Organize executive meetings, including quarterly and annual review sessions, ensuring all materials are prepared and follow-ups are tracked
- Optimize Workflows: Facilitate smooth operations by prioritizing tasks, meeting deadlines, and ensuring executive initiatives are executed seamlessly
Administrative Leadership:
- Handle sensitive information with discretion and professionalism
- Oversee special projects and critical tasks to ensure organizational efficiency
- Collaborate with various departments to improve processes and support company initiatives
Requirements
What We're Looking For:
- At least 7 years of experience in a high-tech company as an Executive PA, Administrative Manager, or in a similar role.
- Proven ability to manage complex schedules, coordinate international travel, and handle multiple priorities in a dynamic environment.
- Excellent communication skills in English (verbal and written).
- A proactive attitude, problem-solving mindset, and ability to anticipate needs.
- Strong organizational and multitasking skills with exceptional attention to detail.
